Opening of the Bid Committee Meeting, Travis W., at 4:05 p.m. with the serenity prayer.

11 attendees present, 1 of which was attending their first SMICYPAA Meeting.

Presentation of the Treasurer’s report by Sean K. There was a discussion regarding amending the financial status report.

Big Book Committee member not present.

Outreach committee member not present.

Chair: It’s been a fun entrance into the New Year for me personally and for SMICYPAA. Not too much going on on my end of things, but it was a blast to help out at the Festivus event that we held, and I think everyone had a fun time there. I even got to be one of the referees for the feats of strength, and our speaker was a blast. The spaghetti…well, it was spaghetti, what can I say?
I also think it was really cool that our committee got to be involved in someone else’s event for New Years, and we were able to hold an informational booth telling people about SMICYPAA and ICYPAA, while we handed out drinks to thirsty dancers. I even heard there was a second-rate magician there who did some interesting tricks! Cool!
Anyway, I look forward to the New Year with the committee, and I hope that we can do a lot in this upcoming year before the Conference. It’s exciting to see what’s to come!

Co-Chair: As Co-Chair, I continued serving the Bid Committee as acting Webmaster.
Besides that, this month I helped out at the FESTIVUS event. As usual,
I've been talking up SMICYPAA and our move to this new location. Looking
forward to our next event, and ICYPAA in June. A reminder for all Members
to reserve their hotel rooms for ICYPAA--there is a link on the website.
Thanks for the opportunity to be of service.

Hotels/Facilities: Important activities: Contact with the Renaissance was made, they are still excited to work with us. I did not yet make contact with the Adam’s Mark or the Millennium. Goals for the month: Contact Adam’s Mark and Millennium about Memorial Day 2007.

Group communications: Needs to continue going to District Meetings , She was able to find a new meeting place. Festivus was a lot of fun and I enjoyed being able to be apart as a Feats of Strength referee. Presented by Chelsea H.

Events: Festivus was a lot of fun and it was a pretty good turnout. Still looking for a venue for a dance coming up towards the end of February. Presented by Brian L.

Merchandise: Not too much report. Some shirts were pre sold at the festivus event. Presented by Dan H.

General Sharing, questions, and suggestions:

An explanation about what ICYPAA and SMICYPAA is for the benefit of the new person in attendance.

Anna F. and Ben S. agreed to help with group communications due to lack of co-chair.

Discussion about having ICYPAA flyers and flyers explaining what SMICYPAA is brought to business meetings and events.

Purposed amendment to service manual: here are the two proposed amendments to the procedures manual,
which I submitted in writing at that Meeting (these will be on the agenda
for the next Meeting--go ahead and can cut and copy this and stick them in
the 010706 Minutes--something like this: "The following two proposed
amendments to the Procedures Manual were submitted in writing by Ian S.,
Co-Chair; they will be placed on the agenda and discussed at the next
Meeting):

1) To replace the existing paragraph 4.6F of the Procedures Manual
(regarding the Treasurer's duties and requirements) with the following
paragraph:

4.6F For each Meeting, prepare a written summary, in parenthetical
form, of the financial status of the Bid Committee, setting forth
relevant financial information, including, but not limited to, the
following information: revenues for the preceding period, expenses
for the preceding period, detail of any significant financial
happenings, the balance (revenues over (under) expense) for the
current year to date balance; read said summary at each Meeting and
make and distribute copies of the same to all Members at each Meeting;
said summary to appear in the Minutes;

2) To relocate subparagraph C under paragraph 4.5, placing said
subparagraph appropriately under paragraph 4.2.

Third, here are the dates for ALL of our remaining Meetings in 2006 (until
ICYPAA at least--all meetings afterwards are up to the new Bid Committee;
however, it looks like the first Saturday is free all year):

May 6, 2006
June 3, 2006

(They are all on the first Saturday.) Why don't you stick these 5 dates
at the bottom of the minutes (where we normally place the date of the next
meeting). I'll be putting them on the website somehow also.
