Treasurer Report: Mike P. not present but Report given by Sean K. First of all I would like to take this opportunity to thank Melanie, Vanessa and everyone else that helped make the Mini-Conference a success. The Mini-Conference was one of the best experiences I’ve had in AA! The speakers were awesome and the fun almost seemed to never end. Unfortunately I cannot be at the meeting today because I need to be at my brother-in-law’s wedding. I hope the committee finds this report acceptable and I will answer any questions that arise as soon as possible. Important activities since the last meeting include: The beginning balance was $1170.72. The Mini-Conference to date has a net loss of $215.11. The Kickball event to date has a net loss of $96.23. There was also a basket collection at the committee meeting on May 5, 2007 = $2.00. This leaves us with an ending balance of $1401.38. Goals for this month include: Help put on and participate in the Kickball event. Attend and participate in the Reason Statement subcommittee meeting next week. Respectfully submitted, Mike P. Reports:
Chair, Sean K.: The Mini Conference was awesome. I had a blast and so did others from Kansas City, St. Louis, and Columbia. Kickball is coming up and I’m selling tickets and see Ben to get tickets to presale.
Co Chair, Susan M: So Sad she missed the Mini Conference. Looking forward to Kickball and ICYPAA. She will be sending the Advisory Counsel the minutes and event flyers.
Hotel and Facilities: Travis W.: Hello Committee! First I wanted to thank everyone, especially Vanessa and Melanie, for all of their hard work that they put into making the conference happen. It was a an amazing experience for me, and I was impressed by all of the different areas of the state that were represented there. Sarah and I will be on our honeymoon during our next event, the kickball tournament. Though I am sure I will be having a fun time with my new bride, I will miss one of my favorite events that we do each year. Before I leave town, and more so after I get back, I will be solidifying the contracts that we have with the hotels that we are working with. At that time I will also be looking into any other ideas and possibilities for other venues – I think that it will be good to always keep any fresh ideas that we can find coming in for us in terms of where we want to propose holding the conference. In conjunction with all that, I will hold a sub-committee meeting at some point next month so that we can go over the contracts that I have put together. Love ya'll lots and lots and lots.
Outreach Chair, Ian S.: I think the Mini Conference was an overall success. I have recently spoken with the Outreach Committee Co-Chair, Julie W. about holding an outreach event in KC in mid-July. The plans are now in the works. More will be revealed. If anyone has any great ideas for an event there, let me or Julie know. Comtrea is looking for speakers for their AA-informational meetings which are held a couple times a month at 4 pm at the facility in Arnold. SMICYPAA Outreach is still sponsoring two AA meetings every month in that facility, but the facility asked if we could provide some speakers as well. I sent an email to the whole Committee regarding this last week – contact me or the folks mentioned in the email if you know of anyone interested. Thanks.
Merchandising Chair, Sarah: They have some drawings and ideas for T-shirts. They have a general idea of what they want to do to move forward to get shirts. She has some contacts to get the shirts but wants to have all info of how to go forward in the process.
Bid Book Chair, Melanie: Ian gave her a CD with the graphics. Is waiting to get PICs to add to collection.
Events Chair, Ben M: June 23 5pm Kickball Event. Suggestion of donations $5 or $8. Chair for the meeting is Christen. He needs a young people 10 minute speaker. Proposed budget of $200.00. Jim is running the kickball game. We will need to get 2 new balls and maybe prizes. Also maybe a pool party or camping suggestions for other events.
Group Communications, Jim L: Jim L not present but Ben gave mini report about Jim’s chair report.
Mini Conference, Melanie P. and Vanessa W.: It was awesome. Thanks to all that volunteered, participated, and had fun. She thinks it was a success. Vanessa would like to send Cindy from MIZZOU flowers, somewhere about $30.00. She enjoyed herself and was happy to be a part of the conference.
Old Business:
Only open position is Group Communications Co-Chair.
New Business:
Discussion about volunteering time in the ICYPAA hospitality room. Ian S. motioned to commit time to ICYPAA hospitality room, MMSP.
Discussion about getting a new banner. It appeared that everyone is in favor of a new banner design. Sean explained the process about art, logos, and t-shirts and getting ideas approved and then moving on to getting T-Shirts made.
Travis W. motioned to approve $30.00 for Flowers to Cindy at MISSOU, MMSP.
General Sharing:
Vanessa: August 17,18,19, Camping trip, Columbia Young People’s meeting. She can’t come to kickball in June.
Who is registered for ICYPAA. We have 12 scholarships registrations.
Travis discussed providing a scholarship hotel room.
Travis brought up moving the committee meeting to Columbia to increase Kansas City participation.
